The
Inter-Departmental Correspondence envelopes are used repeatedly
for internal mailings so please make sure that all previous
markings have been crossed out. Used
envelopes are sometimes available in Mail Services, contact
your campus mail room to inquire. Or, new ones can be ordered
from the Office
Supplies Program. Addressing campus mail on white envelopes
is not recommended because it may be mistaken for U.S. mail
and deposited at the U.S. Post Office. |
A change of
internal location must be acted upon promptly. As soon as a department
learns of it's new location and mailing address, it should send
a note or memo to Mail Services and Human Resources, and every person

Confidential
Correspondence
It is recommended
that confidential matters be inserted into a clean, plain envelope
(free of any previous markings) and sealed. The sender should mark
the envelope with "Personal & Confidential" or "To
be Opened By Addressee Only", then inserted it into an Inter-Departmental
Correspondence envelope with the proper address information. This
ensures against misdirection or lack of proper security.

Mass
Campus Mailings
Mass campus
mailings may be sent without envelopes by putting the address directly
on the letter or flyer. When ordering labels for mass campus mailings,
request that they be printed in address order, and please keep them
in order when labeling and sending your mailing.
Mail Services can pick up the mass mailing in portions, as it is
completed. If a department wishes for the entire mailing to go out
on the same day, simply advise Mail Services to request that all
portions be held until the mailing is completed.

Non-Mailable
Items
Items such as
metal pieces, glass parts, chemicals, etc., cannot be mailed in
envelopes. They require special packing before mailing or shipping.
The mail center will be able to determine the most appropriate handling
method.

Separating
Mail
To help expedite
the delivery of mail, please address properly and separate your
mail into the following categories before it is picked up:
- Domestic
mail that requires postage
- International
mail that requires postage
- Stamped mail
- Evanston
campus mail
- Chicago campus
mail
If you have
several pieces of campus mail going to the same building or to the
other campus, rubber band them together and mark them "All
for .....". This will help speed up delivery of this mail.

Transit
Time
Inter-campus,
or campus-to-campus, mail will be delivered to the recipient within
two (2) working days of receipt in the mail stream and represents
the longest time needed to process mail. Intra-campus, or same-campus,
mail will be delivered within one working day (excluding mail which
must pass through other McGaw Medical Center mail rooms).
The mail centers
operate on an 8-hours-per-day, 5-days-per-week schedule. Please
be mindful of the limited operating schedule when mailing time-sensitive
notices for meetings, seminars, and other activities.
Campus mail
is transported between the Evanston and Chicago campuses three times
daily based on the schedule below:
